How to Send a Handyman Work Order That Avoids Extra Back-and-Forth
A good work order does more than say something is broken. It gives a repair provider enough information to understand the problem, prepare for the visit and ask useful follow-up questions. For a property manager handling several units, consistent requests can reduce repeated messages and help keep the job organized.
Include the location and the exact problem
Send the property address and unit number, then identify the room or exterior area. Describe what is happening: a door catches at the top, a handle is loose or a wall has a hole. Mention when the issue appears and whether someone has already attempted a repair. These details are more useful than guessing which part needs replacement.
Take two kinds of photos
A close-up shows the damage; a wider photo shows its location and surroundings. For trim, doors and fences, include neighboring sections so matching materials and access can be discussed. Photos help with planning, but they cannot reveal everything hidden behind a surface. Some requests will still need an in-person look.
Explain access and approval
Tell us whether the unit is occupied or vacant, how access will be coordinated and who approves the work. Include a budget limit if one applies, and say whether materials require separate approval. Use your normal tenant-notice process before an occupied-unit visit. Share key or entry arrangements privately rather than posting them in public comments.
Copy this request format
Property / unit: ____. Requested tasks: ____. Photos attached: ____. Occupied or vacant: ____. Access contact: ____. Preferred timing: ____. Approval contact and spending limit, if applicable: ____. Other scheduled vendor work: ____.
Keep unrelated requests clearly separated by address and unit. If a new issue comes up, describe it as an additional item so the original work order remains easy to follow. That small habit helps with scheduling, owner updates and matching the eventual invoice to the approved work.
